All bookings are subject to the terms and conditions stated below:

Bookings - Provisional bookings are held for one week. Bookings not confirmed in writing within this time will be cancelled unless an extension is agreed. Confirmation of a booking is accepted upon receipt of written confirmation.

Deposit & Payment - A non-returnable deposit of 50% of the estimated charge is required at the time of confirmation. Full payment of the facility fee must be paid two months in advance of the date booked. VAT, if applicable, will be charged at the standard rate. All other costs associated with the event must be paid in full four weeks prior to the event.

Cancellation Charges - a cancellation should be confirmed in writing. Cancellations will incur the following charges:

6 to 8 weeks notice - 25% of the outstanding balance
4 to 6 weeks notice - 50% of the outstanding balance
1 to 4 weeks notice - 75% of the outstanding balance
Less than 7 days notice - Full charge of the outstanding balance

In the event of a cancellation Stoneleigh Abbey will make every endeavour to relet the facilities and the Cancellation Charges will only be made if these endeavours are unsuccessful.

Numbers - Approximate numbers must be confirmed four weeks before the date of the event. These numbers will be deemed the confirmed numbers and the cost of any catering etc. will be for that number or more if final numbers are higher. Final numbers attending must be given a least 7 working days prior to the date of the booking.

Conduct & Damage to Property - If at any time after the booking has been made, Stoneleigh Abbey Limited have good reason to believe that the function for which the booking has been made is not likely to be of a nature appropriate to Stoneleigh Abbey then Stoneleigh Abbey Limited may cancel the booking upon refunding any prior payment made.

In the event of a guest’s behaviour being unacceptable to Stoneleigh Abbey Limited we reserve the right to insist on the offending individual(s) immediate departure. The client undertakes to indemnify Stoneleigh Abbey Limited against all costs, losses and expenses incurred by Stoneleigh Abbey Limited in making good breakages or damage resulting directly or indirectly from the behaviour or conduct of the client or any of their group. Smoking and the use of naked flames or candles are not permitted within the property. Please note that confetti may not be thrown within the buildings of the Abbey.

General - The client is required to: use Stoneleigh Abbey’s exclusive caterers for the provision of all food, drink and catering services; all services directly hired by the client such as photographers, musicians/entertainers, florists, audio visual aids etc., must be from companies who appear on the Abbey’s list of approved suppliers; notify Stoneleigh Abbey Limited of all equipment they are intending to hire or arrange for the event. Stoneleigh Abbey Limited has a discretion to refuse to allow inappropriate equipment or entertainment in Stoneleigh Abbey and the Estate; press releases or any material that is to be published in any form can only be done so with prior authority from Stoneleigh Abbey Limited.

Force Majeure - Stoneleigh Abbey Limited shall not be liable for any failure to provide access to or use of Stoneleigh Abbey arising from circumstances outside Stoneleigh Abbey Limited’s control, including for example acts of God, war, riot, explosion, abnormal weather or natural disaster, fire, flood or strikes.
